Purpose of the Role

The Bookkeeper – North America provides the primary support for the North American businesses on matters relating to financial transactions. The role is responsible for ensuring the timely and accurate processing of Accounts Receivable, Accounts Payable, Payroll and Bank Reconciliations for the US and Canada businesses. Also included in this role are the responsibilities for month-end processes through to final trial balance / Profit & Loss / Balance Sheet.


The role has been established as part-time and ideally would be 20 hours spread over 4 or 5 days, with flexibility around timing, although they must cover the Eastern Timezone working day. Working arrangements are 100% remote.

The position reports through to the Canadian GM, with a dotted line through to the Global CFO.


Key Accountabilities


Accounts Payable

  • Accurate and timely processing of accounts payable, ensuring correct authorization, coding, reconciliation.
  • Preparation of weekly payment runs.
  • Creating new and maintaining existing vendor records.
  • Completing month end accruals for expenses.

Accounts Receivable

  • Daily Finalization of invoices coming through from Hubspot CRM and delivery through to clients (e.g. via email or uploads to portal)
  • Resolving receivables-related queries both internally and externally
  • Work proactively with the Sales team to streamline invoicing-related processes.
  • Effective management of the receivables ledger, keeping aged debts to a minimum

Payroll

  • Timely and accurate processing of regular and ad-hoc payrolls.
  • Ensuring statutory obligations are met, including Federal and State / Province lodgements and payments.
  • Ensuring integrity of payroll data and secure storage of payroll documents.

Bank Reconciliation

  • Daily bank reconciliations
  • Follow-up missing, for example missing credit card receipts.

Month-end

  • Monthly close processes, include journals and reconciliations for two companies.
  • Review of month-end results with the CFO

Desired Experience and Skills

  • 3+ years’ bookkeeping experience
  • Able to build relationships internally and externally
  • Excellent communication skills
  • A strong understanding of Xero (or similar system) and Excel, Teams and Outlook
