CURRENTLY RECRUITING A CORPORATE LEGAL ASSISTANT WITH CORES 1 FOR A LARGE DOWNTOWN FIRM IN CALGARY

Duties and Responsibilities:
- Preparing corporate legal documents such as Annual Return packages and notices in applicable jurisdictions;
- Performing CORES Level 1 filings with Alberta Corporate Registries (annual returns, notices, Trade Name and Partnership registrations);
- Assisting with the administration of CORES Level 1 filings including saving of filed Annual Returns and Proof of Filings into the Document Management System and/or minute books;
- Conducting Federal searches and filing Federal annual returns and notices with Corporations Canada;
- Reviewing, analyzing, summarizing, updating and maintaining basic to complex minute books and corporate records including an electronic records database;
- Maintenance of Annual Return listings/Strike-off Listings;
- Assisting with annual/regular maintenance of corporations currently registered in all jurisdictions;
- Maintaining a complete listing of the corporate entities and update database when minute books are signed in and out of the Corporate Services department;
- Processing of cheque requests, cash receipts and other expenses incurred within the department;
- Providing assistance and support with respect to reporting and billing files;
- Completion of reminder letters and Strike-off letters to clients/lawyers;
- Updating of the Corporate Services electronic records database with changes made to the corporate entities;
- Create and maintain legal documents in minute books (physical and electronic), Document Management System and Corporate Services database;
- Monitoring the Corporate Services general inbox and responding to e-mail requests;
- Review, evaluate and distribute incoming and outgoing mail including statements of claims received as registered office and agent for service and billing for service as required;
- Time entry, billing, opening and closing files and other department related tasks; and
- Other duties and responsibilities as required.
Education & Qualifications:
- Legal Assistant Diploma from a recognized post-secondary institution required;
- CORES Level 1 required;
- Experience working in a corporate records department preferred;
- Experience with a Corporate Services database and Document Management System is an asset; and
- Strong computer literacy, including effective working skills in Microsoft Word and Excel.
